Employee onboarding checklist for small businesses
A smooth first week sets the tone for everything after. Use this practical employee onboarding checklist to start every new hire off right.
The first few days shape how a new hire feels about your company — and how quickly they become productive. A repeatable onboarding checklist means nothing gets forgotten and every employee gets a great start.
Before day one
Prepare ahead so the new hire walks into a ready workplace:
- Send an offer letter and confirm the joining date.
- Collect documents — PAN, Aadhaar, bank details, photos, education/experience proofs.
- Create their employee record and assign an employee ID.
- Set up their email, tools and access.
- Prepare their workspace or device.
Day one
Make the first day welcoming, not overwhelming:
- Give a warm welcome and introduce the team.
- Walk through role, expectations and reporting lines.
- Share the employee handbook — leave policy, working hours, code of conduct.
- Enrol them in attendance (biometric or app) so time is tracked from day one.
First week
- Set up their salary structure in payroll.
- Register them for PF and ESI where applicable.
- Assign a buddy or mentor.
- Schedule initial training and first tasks.
First month
- Hold a check-in to answer questions and gather feedback.
- Confirm their first payslip is accurate.
- Review early goals and progress.
